Privacy Policy

Coachocracy (“we,” “us,” or “the service”), operated by Arthunch LLC, a United States limited liability company, is a practice and exam preparation tool for coaches. This Privacy Policy explains what information we collect, how we use it, who we share it with, and the choices you have. Coaching conversations contain sensitive personal information, so we treat your content with care.

1. Information we collect

We collect only what we need to run the service:

• Account information. Your email address, your name if you provide it, and your chosen credential level (for example ACC, PCC, or MCC). If you sign in with Google, we receive your email and basic profile from Google.
• Content you provide. The coaching transcripts you paste or upload, and, if you use audio or video features, the recordings you upload for transcription. This content, and the assessment reports we generate from it, is the core of what we store for you.
• Usage and session data. Records of your sessions, their status, assessment results, and progress over time, so we can show your history and trends.
• Technical data. Cookies strictly needed to keep you signed in and to operate the service. We do not use advertising trackers.

2. How we use your information

• To create your account and authenticate you.
• To transcribe recordings you upload and to generate competency mapped assessment reports from your transcripts.
• To save your session history and show progress across sessions.
• To maintain the security, integrity, and reliability of the service.
• To respond to your requests and provide support.

3. AI processing and training

We use Anthropic’s Claude API to analyze your transcript and produce feedback. We do not use your session content to train artificial intelligence models, and our AI provider does not train its models on content submitted through its API. Your content is used to generate your report, not to improve any model.

4. Service providers we share data with

We do not sell your personal information. We share it only with the providers that operate the service on our behalf, and only as needed to deliver it to you:

• Supabase for database, authentication, and file storage.
• Railway for application hosting.
• Anthropic to generate assessment feedback from your transcript.
• AssemblyAI to transcribe and separate speakers when you upload an audio or video recording. If you only paste or upload text transcripts, your content is not sent to a transcription provider.

These providers process data under their own terms and security commitments. Some of them, and therefore some processing, are located in the United States.

5. Data retention and deletion

You can permanently delete any session at any time. Deleting it removes the transcript, the report, and any associated media for good. It is not archived or recoverable, and audio recordings are already deleted right after transcription. We retain your account information for as long as your account is active. If you want us to delete your account and all associated data, contact us at arthunchco@gmail.com and we will process the request.

6. Security

We protect your data in transit using encrypted connections (HTTPS and TLS) and rely on our infrastructure providers for encryption at rest. Access controls are enforced so that you can see only your own sessions and reports. No system is perfectly secure, but we work to protect your information using industry standard practices.

7. Your responsibility for recorded participants

Coaching sessions involve another person whose privacy matters. Before you upload or paste any recording or transcript that includes a client or any third party, you are responsible for having obtained their informed consent to record the session and to process it with a third party tool that uses AI. Do not upload content you do not have the right to share.

8. Your rights

Depending on where you live, you may have the right to access, correct, export, or delete your personal information, and to object to or restrict certain processing. To exercise any of these rights, contact us at arthunchco@gmail.com. We will respond within a reasonable time and in line with applicable law.

9. International data transfers

If you access the service from outside the United States, your information may be transferred to and processed in the United States and other countries where our providers operate. We rely on our providers to maintain appropriate safeguards for these transfers.

10. Children

The service is intended for adults and is not directed to anyone under the age of 16. We do not knowingly collect personal information from children.

11. Changes to this policy

We may update this Privacy Policy from time to time. When we make material changes, we will update the date at the top of this page and, where appropriate, notify you. Your continued use of the service after a change means you accept the updated policy.
